What are Custom Fields?

Custom fields are company-specific fields that you use to categorize your users. They enable more granular tracking, filtering, and reporting beyond default system fields. Each custom field contains a list of values to select from. Once you create these fields and apply the values to users, then you can use them to more efficiently manage assignees and reports.

The Custom Fields tab can be found on the Team Management page. (Team Management can be found in the dropdown that appears when clicking on the image-20250916-135542.png Profile and Account Settings icon.)

Common Use Cases for Custom Fields

Here are some of the most frequent use cases we see companies using custom fields for:

  • Large trainings with multiple tracks

  • New hire trainings

  • Department-specific assignments

Before Getting Started with Custom Fields

Here are some details & tips that may be helpful to know before you start setting up custom fields:

  • All fields are single select, meaning you can only apply one value per user for a specific field.

  • Values will display in alphabetical order, so use numbering (with leading zeros) if you need them to appear in a specific order (e.g., for reports).

  • Once a custom field is created, it will appear in the Reports and My Team data grids. If you later rename or delete a custom field, it will break any views (saved filters) in those grids. Finalize your custom field names prior to creating them to avoid later breaking these views. (Note: Renaming or deleting a value within a field will not cause any issues with views.)


Common Questions

  • How many custom fields can we have?
    Each company can have up to 10 custom fields at a time. Deleting a field frees up that space to make a new field (but doing so does break saved views in Reports & My Team grids).

  • How many values can each custom field have?
    Each custom field can have an unlimited number of values.
