Manage Custom Fields & Values

Create and maintain custom fields to categorize your company’s users, so that you can efficiently manage users, assignments, and reporting.

Instructions

Plan your fields and finalize the names before creating them. Once a custom field is created, it will appear in the Report and My Team data grids. If you later rename or delete a custom field, it will break any views (saved filters) in those grids. (Note: Renaming or deleting a value within a field will not cause any issues with views.)

Add a Custom Field

  1. Select Add Field.

  2. Fill in the Field Name.

  3. Select Add.

Add a Value to a Custom Field

  1. Select the custom field that you need to add a value to.

  2. Select Add Value.

  3. Fill in the Value name.

  4. Select Add.

You can add as many values as you need to a custom field — there’s no limit.

Values will display in alphabetical order, so use numbering (with leading zeros) if you need them to appear in a specific order (e.g., for reports).

Rename or Delete a Value in a Custom Field

  1. Select the custom field that contains the value you need to edit.

  2. Find the value in the list and rename or delete as needed:

    1. If you need to rename the value, select Edit Value (pencil icon). Then rename it and select Save.

    2. If you need to delete the value, select Delete Value (the trashcan icon). Then select Delete again to confirm.

The update will apply everywhere this field is used in the platform. If you renamed the value, it will update to the new name for all users that already have it applied to them. If you deleted the value, it will be removed from all users that previously had it applied to them.

Rename or Delete a Custom Field

Renaming or deleting a custom field breaks all private and company views (e.g., in Reports, My Team).

  1. Select the custom field that you need to edit.

    1. If you need to rename the field, select Edit Field (the pencil icon). Then rename it and select Save.

    2. If you need to delete the field, select Delete Field (the trashcan icon). Then select Delete again to confirm.

The update will apply everywhere this field is used in the platform. If this field was used in any views, delete that view and then recreate it.
