Deactivate Users

Deactivate users if they’re no longer with your company or will not attend training and will not need Ascender® access in the future. This will free up their Ascender access for reallocation.

Understand the Impacts of Deactivating a User

  • If the user will need Ascender access in the future, you should not deactivate them.

  • Deactivating a user will end their Ascender access and remove them from assignments. If they are later reactivated, you will need to manually re-assign them to any assignments they need.

  • You cannot pull reports on users once they've been deactivated.

Export and Save Report Data Prior to Deactivating

You cannot pull reports on users once they've been deactivated, so you should always pull and save any data you need (or might need in the future) on these users prior to deactivating them. We recommended exporting one of each report type without any filters applied (on all users and content) just to be safe. See Reports Management for info on how to do this.

Deactivate Users

  1. Select the checkbox for each of the users you need to deactivate.

    1. Tip: Use filters to narrow down the user list.

  2. Select Actions then Deactivate.

  3. Confirm that you need to deactivate the user(s).

    1. If more than one user was selected, they will all be deactivated.

This will deactivate the selected user(s) and they will no longer be able to log in to Ascender.


Additional Information

  • If the deactivated user was a manager in Ascender, any users under them will move one level up.

  • Deactivated users will be listed on your My Team list with a status of Inactive.

  • If the deactivated user had any reserved methodology licenses, those will be removed from the user and available for reallocation.

  • If the deactivated user had any consumed methodology licenses, those will stay consumed and unavailable for reallocation (unless your company is on an ELA model for that methodology).

  • Deactivated users do not count towards your Ascender license usage.

Tips for Large-Scale Deactivations

We hate to see it, but sometimes you need to deactivate a large amount of users at once. An effective way to this is by using a custom field and change via upload to tag the users you need to deactivate. Then you can filter the user table by this field value to select and deactivate the users.

  • Deactivations are limited to 100 users at a time. If you need to deactivate more than 100 users, create a different value for each batch of 100 users.

  • The custom fields a user is tagged with are visible to other admins and managers in your company, so keep that in mind when using this method.

  • Make sure you export & save a copy of each report for all users before deactivating them (or just the tagged ones - wait until receiving uploads processed email) so that you have any data you may need.
